The Opportunity
We are looking for a Facilities Coordinator to join our Property team!
The Facilities Co-Ordinator is required to coordinate and manage all Work Requests and Work Orders across Planned, Reactive, and Project works within the network, ensuring timely execution in accordance with the Prioritisation Matrix and organisational standards.
Additionally, to provide efficient administrative and operational support to the Facilities Management team, facilitating seamless communication and delivery of services aligned with organisational requirements.
This role is Fixed Term until the end of March, 2026.
Key Responsibilities
- Actively coordinate and manage all Work Requests and Work Orders across Planned, Reactive, and Project works in collaboration with the Facilities Management Team, ensuring timely execution in accordance with the Prioritisation Matrix and organisational guidance. Further explain the oversee part from and END to End management of Requests.
- Consult the Lease database to clarify Tenant or Landlord responsibility for requested works.
- Allocate, update, and maintain Work Request statuses within the Work Request system, including accurate data entry and timely closure of completed requests.
- Liaise with Service Providers to ensure works are allocated and completed on schedule; obtain and attach all supporting documentation to the relevant Work Request in the system.
- Assist with the reconciliation of Work Orders against invoices, collaborating with Facilities team members to validate completed works.
- Provide administrative support including meeting minutes, system data entry, and assistance with regular reporting.
- Develop and maintain positive relationships with internal customers, communicating progress on Work Requests and escalating issues as necessary
- Support communication efforts related to facilities maintenance and project activities to ensure all stakeholders are well-informed.
About You
- Solid understanding of facilities management principles, systems, and processes, including planned and reactive maintenance workflows.
- Strong organisational, prioritisation, problem-solving, and critical/lateral thinking skills.
- Demonstrated ability to resolve general issues efficiently and maintain a resultsoriented approach.
- Self-motivated, resourceful, detail-focused, and able to work effectively both independently and as part of a team.
- Excellent verbal and written communication skills, with the ability to collaborate effectively across departments and build strong stakeholder relationships.
- High proficiency in Microsoft Office suite (Excel, Word, Outlook), with a strong aptitude for learning and adapting to new systems and technologies
- Hold a valid working with children check or willingness to obtain upon commencement.
